Improve questions, lift up communication
May 08, 2023Have you ever been there:
Someone is silent or gives you a default answer to your question?
This can be really annoying. Especially when you really need to get ‘this' answer. And, when things are important. Like in customer service relations, or when you’re dealing with a project hurdle...
In these specific moments, it can be really challenging to stop assumptions about the other person (e.g. Is this person really this much carless? Ignorant? Rude?), and stay calm enough to keep the communication going in a helpful direction.
So, what can you do?
It might be super helpful too level up the skill of ‘asking questions’.
Here are some tips for better articulating a question:
-
Be clear and concise: When asking a question, it's important to be clear and concise with your words. Avoid using unnecessary words or phrases that could confuse the person you are asking.
-
State your purpose: It can be helpful to state your purpose for asking the question, especially if the person you are asking is not familiar with the context of the question.
-
Provide background information: If necessary, provide background information to help the person understand the context of the question.
-
Avoid ambiguity: Try to avoid using vague or ambiguous language that could be interpreted in different ways. Use specific and concrete language instead.
-
Use open-ended questions: Open-ended questions encourage more detailed and thoughtful responses. Instead of asking a yes-or-no question, try asking questions that begin with "what," "how," or "why."
-
Consider the audience: When asking a question, consider the knowledge level and expertise of the person you are asking. If necessary, adjust your language and approach to ensure that your question is easily understood.
-
Listen actively: After asking your question, actively listen to the response and ask follow-up questions as needed to clarify any points of confusion or gather additional information.
By following these tips, you can better articulate your question and increase the chances of receiving a clear and helpful response.
